LTA Events – Cancellation, Refund & Rescheduling Policy
Booking & Deposits

Event dates are reserved exclusively for the client once booked.

Deposits are non-refundable and apply toward the total event balance, except as noted below.

Payment of a deposit or full service fee constitutes acceptance of LTA Events’ Terms & Conditions.
Deposit Grace Period
-
Within 30 days of booking, clients may cancel and receive a 50% refund of the deposit, provided the event date is more than 30 days away.
-
After this 30-day booking window, the deposit becomes fully non-refundable.
Cancellation & Refund Schedule
Cancellations must be submitted in writing. Refunds are based on the event date, not the booking date.
30+ Days Prior to Event

Client may cancel and receive a refund of all payments made minus the non-refundable deposit.
14–30 Days Prior to Event
-
Client may cancel and receive a 50% refund of total payments made, or may forfeit the deposit (whichever is greater).

Alternatively, LTA Events may offer a credit toward a future booking at its discretion.
Within 14 Days of Event
-
All payments are non-refundable, as staffing, equipment, and logistics have already been secured.
-
No credits or refunds will be issued.
No-Shows
-
Failure to appear or provide access to the event location will result in forfeiture of the full contracted amount.
Rescheduling
-
Requests to reschedule must be made at least 14 days prior to the scheduled event and are subject to availability.

Approved reschedules will receive a credit applied to a future date within 6 months of the original event date.

Credits are non-transferable and may not be redeemed for cash.

Rescheduling requests made within 14 days of the event are treated as cancellations.
Weather & Outdoor Events

For outdoor events, the client is responsible for providing a safe, weather-appropriate environment, including adequate shelter and protection from rain, wind, heat, or other hazardous conditions.

LTA Events reserves the right to delay, suspend, or terminate services if conditions are deemed unsafe.

Weather-related interruptions or cancellations are non-refundable.

When feasible, a future credit may be offered at LTA Events’ discretion.

Clients are strongly encouraged to arrange a backup indoor or covered location.
Equipment Damage, Guest Conduct & Alcohol

Client assumes responsibility for guest conduct and any damage, loss, or theft of LTA Events equipment.
-
Services may be paused or terminated without refund if guest behavior is unsafe, disruptive, or related to intoxication.

LTA Events is not responsible for monitoring alcohol service or guest consumption.
Limitation of Liability

LTA Events’ liability is limited to the total amount paid for services.

LTA Events is not liable for indirect, incidental, or consequential damages.
Acceptance of Terms
By booking with LTA Events, the client acknowledges and agrees to all policies outlined above.
Damage, Guest Conduct & Alcohol Policy
Equipment Damage & Loss

Client assumes full responsibility for the conduct of all event guests as it relates to LTA Events’ equipment.

Any damage, loss, or theft of equipment caused by guests, venue staff, or other vendors during the event will be the financial responsibility of the client.

LTA Events reserves the right to charge the client for repair or replacement costs at full replacement value.

If equipment is damaged to the extent that service cannot continue, no refund will be issued.
Guest Conduct

LTA Events reserves the right to suspend or terminate services without refund if guests engage in unsafe, disruptive, or inappropriate behavior that jeopardizes staff, equipment, or other attendees.

This includes, but is not limited to: physical interference with equipment, harassment of staff, or repeated failure to follow staff instructions.

Client agrees to designate a responsible point of contact during the event to assist in managing guest behavior if necessary.
Alcohol & Substance Use
-
If alcohol is present at the event, the client assumes full responsibility for guest behavior related to alcohol consumption.

LTA Events staff will not be responsible for monitoring or controlling alcohol service or consumption.
-
Service may be paused or terminated if guest behavior becomes unsafe due to intoxication, with no refund issued.

LTA Events shall not be held liable for any injuries, damages, or incidents resulting from alcohol or substance use at the event.
Safety & Right to Refuse Service

LTA Events reserves the right to refuse or discontinue service if conditions are deemed unsafe for staff or equipment.

Unsafe conditions may include but are not limited to overcrowding, aggressive behavior, environmental hazards, or venue restrictions not disclosed in advance.

In such cases, no refunds or credits will be issued.
